Airbnb research and removal requests · Cookies and third-party services · Your rights and how to contact us

Who is responsible for your information?

GardenSqua.re is a trading name of London Infrastructure Solutions LLP, the controller responsible for the uses described in this notice. Our correspondence address is Fifth Floor, 167/169 Great Portland Street, London, W1W 5PF, United Kingdom.

For privacy enquiries, use our contact form and put “Privacy request” at the start of your message, or write to us at the address above. You do not need an account or a particular form to exercise your rights.

Information you give us

Enquiries and service requests. We collect your name, email address, message and any project, property, telephone or other details you choose to include. We use them to answer you, prepare proposals and manage the resulting work. Contact forms are emailed to us and submissions can also be stored in our website database through Contact Form Entries. Technical submission information can include your IP address, browser, the page submitted from and screen dimensions.

Committee and benchmarking registrations. These forms ask for your first and last name, email address, garden name and relationship to the garden, such as committee member, ratepayer or agent. We use these details to respond to your registration and organise the relevant research or resources. Any subsequent survey should explain the information requested and how its results will be presented. Registering an interest is not, by itself, permission for unrelated marketing.

Public comments. Article comment forms collect your name, email address, comment and optional website, together with technical information used for moderation and spam prevention. Your comment, display name and website link may be public; your email address is not displayed as part of the comment. An email-derived identifier may be sent to Gravatar to display an associated profile image. Avoid including private information about yourself or other people in public comments.

Accounts and administration. Where you have a website account, WordPress stores your account and profile details and uses login cookies to authenticate you. Password-reset and security processes also use technical information. Authorised administrators can access the records needed to manage the website and respond to requests.

Please provide only information relevant to your request. Do not send identity documents, passwords, access codes or sensitive information unless we have explained why it is necessary and how to supply it safely. Required form fields are needed to handle that particular submission; you can contact us by post if you cannot use a form.

Airbnb research, the public map and listing requests

Our Airbnb research page examines short-term rental listings that may be associated with garden squares, to inform committees, trusts and other interested readers about potential non-resident use. The page currently presents research labelled 2024, following earlier work in 2023; it is a historical snapshot, not a live register.

Sources and information used. The research draws on publicly available Airbnb listing information compiled by Inside Airbnb, geographic and keyword analysis, and information submitted through our listing forms. Published details include listing titles and descriptions, listing links or identifiers, approximate map locations, accommodation categories, active/inactive classifications, ratings and review counts. The page also presents aggregate research statistics. Listing information can identify a host or property, directly or through the linked listing; public availability does not remove its protection under data-protection law.

Accuracy and location. Map positions are approximate. Inside Airbnb explains that source locations are displaced and may be up to approximately 150 metres from the actual property. A marker or keyword match does not establish an exact address, a right of access to a garden, a breach of rules or unlawful letting. Categories and activity indicators reflect the source data and research date and may no longer be current.

Who can see it. The map and listing information are available to any website visitor and may be indexed or copied by others. Following a listing link takes you to Airbnb, which applies its own privacy policy. Our map does not provide a booking service or collect guests’ booking records or private Airbnb messages.

Corrections, objections and removal. If a listing concerns you, use Remove a Listing or our contact form to request a correction, object to its use or request removal. Include the listing URL or ID and explain the issue. The removal form asks for your name, email address, relationship to the request, reasons and a typed name confirming the request. We may need proportionate information to establish identity or authority; do not send identity documents unless requested.

As stated on the research page, we will remove a listing from that page when requested and endeavour to exclude its ID and URL from future publications on this website. We may retain a limited suppression record to prevent accidental republication and a record of how the request was handled. Removal here does not remove information from Airbnb, Inside Airbnb, search engines or copies held by others.

Adding a listing. The Add a Listing form collects your name, any email address you provide, your relationship to the listing, its URL and optional supporting details. This information is used to assess the submission. Your private correspondence and contact details are not intended for publication with the listing. Please avoid unsupported allegations or unnecessary personal information about neighbours, hosts or guests.

Basis for the research. The relevant legitimate interests are understanding the relationship between short-term lets and garden-square use, and helping those responsible for gardens make informed decisions. This basis requires the use to be necessary and proportionate and balanced against the people affected; it is not a blanket exemption for public data. You can object to this processing. The correction and removal routes above are available independently of whether you use Airbnb.

Why we use personal information

Under UK data-protection law, the basis depends on the purpose. Responding to a request for a quotation or delivering services to you can be necessary to take steps towards, or perform, a contract. General enquiries, committee correspondence, website operation, moderation and proportionate fraud or spam prevention support our legitimate interests in running and protecting the business. The research interests are explained above.

Handling statutory privacy requests and complying with other applicable legal duties use the legal-obligation basis. Resolving disputes and maintaining necessary evidence can also involve legitimate interests. Where we request consent, for example for optional marketing, you can withdraw it without affecting the lawfulness of earlier processing. Optional cookies and tracking are subject to additional rules described below; a legitimate interest alone does not override a requirement for consent.

Email updates and browser notifications

The contact form offers a separate, optional checkbox for GardenSqua.re updates. Leaving it unticked does not prevent an enquiry. We use Brevo technology for communications and website engagement, including its web-push/WonderPush integration. If you subscribe to browser notifications, the service uses a subscription identifier and technical device/browser information to deliver them. You can revoke notification permission in your browser’s site settings.

Brevo’s website tracker can record page visits and interactions using online identifiers, and may associate activity with a contact where that visitor becomes identified. Emails sent through Brevo can also use tracking pixels and links to report delivery, opens and clicks, depending on the campaign settings. Email updates can be stopped using the unsubscribe link or by contacting us; a minimal suppression record may be retained so the preference is respected. Service replies and privacy-request correspondence are separate from marketing.

Cookies, analytics, maps and embedded content

Cookies, browser storage, scripts and similar technologies support website functions and can also measure activity. Server and security logs may record IP addresses, browser information, requested pages, dates, errors and referring pages. Site-search words appear in the search URL and may be recorded in logs or analytics, so please avoid entering confidential information into search.

Google Analytics and Google tags. The site includes Google Analytics through MonsterInsights and Google tag integration through Site Kit. These tools can process online identifiers, page views, interactions, referral information, device details and approximate location to measure website use. They are distinct from the information you submit in a form.

Google Maps. The Airbnb map uses WP Go Maps with Google Maps. Loading it connects your browser to Google, which can receive your IP address, browser/device details, the referring page and map interactions, and may use cookies or other identifiers. A map’s displayed listing coordinates are different from your own location. If a feature requests your precise device location, you can refuse the browser permission.

YouTube. The homepage videos display local preview images and load the YouTube player when selected. Once a player loads, Google/YouTube receives technical request data and may use cookies, measure playback and associate activity with a signed-in Google account. Other embedded content should be treated as a connection to its provider when it loads.

Spam prevention. Google reCAPTCHA v3 assesses technical and interaction signals to help identify automated abuse. It can load on pages without a visible form. Forms and comments also use Akismet, which can receive submitted content, contact details and technical information for spam checks.

Hosting and presentation. Hostinger provides hosting and related delivery infrastructure. Remotely loaded Google Fonts and Font Awesome resources disclose technical request information, such as IP address and browser details, to their providers. WordPress login and optional comment-detail cookies remember authentication or the details you ask the comment form to save. Session storage ends with the session; persistent identifiers remain until expiry or deletion, according to their settings.

Current controls. Some third-party scripts, including the Google map, currently load automatically without an on-site consent step. This notice does not mean that optional tracking has been blocked until you agree. You can manage cookies and site permissions in your browser, disable notifications and use Google’s Analytics opt-out tool. These controls may affect functionality and do not undo data already transmitted. Browser controls are not a substitute for any consent mechanism the site is legally required to provide. Simply continuing to browse is not consent to optional tracking.

Recipients and international processing

Relevant information is accessible to authorised people handling enquiries, research, administration and technical support, and to providers needed to host, secure and operate the website, deliver correspondence or provide the integrations above. Contact Form 7, Contact Form Entries and WP Go Maps are software used on the site; their presence does not itself mean that the plugin developers receive your submissions. External integrations are described separately.

We may disclose relevant records to professional advisers or public authorities where needed for a legal obligation, dispute or regulatory enquiry. Research listing information and approved comments are public as explained above; ordinary enquiry and removal-request correspondence is not published as website content.

Articles also link to external suppliers and other websites. Following those links, including product links, takes you to the other operator; its own privacy and cookie terms apply. A referral link may carry a tracking identifier, and purchases made on another website are handled there.

Providers can process information outside the UK, including in Europe and the United States. Their notices describe their locations, purposes and international-transfer arrangements. UK rules require an applicable adequacy arrangement, appropriate safeguards or a permitted exception for a restricted transfer. You can contact us for details of the arrangements applying to your information; this notice does not claim that all information remains in the UK.

Provider information: Hostinger; Google, including Analytics, Maps, reCAPTCHA, Fonts and YouTube; Brevo; Akismet; Automattic / Gravatar; Font Awesome. Their own notices also explain processing they undertake for their own purposes.

How long information is kept

Retention depends on the purpose rather than a single period for everything. Enquiry and project records are kept for the time needed to handle the matter and any associated service, accounting, legal or dispute requirements. Committee and research-registration details are relevant while the registration or resulting relationship is active and for necessary follow-up. Marketing details remain relevant until you unsubscribe or they are no longer needed, with limited records retained to honour an objection.

Published research records may remain useful for explaining and comparing historical findings, subject to correction, removal and objection requests. A listing’s suppression record may be needed while further research imports or publications could otherwise reintroduce it. Request correspondence is retained to administer the request and demonstrate how it was handled. Published comments remain with the relevant article unless removed; account records remain while required to administer the account and any associated obligations.

Technical logs, analytics and third-party identifiers have separate provider or configuration-dependent periods. Backup copies may persist until replaced or expired through the backup cycle. Contact us if you need the retention information for a particular record or service, or wish to request deletion. There is no universal promise that submitting a removal request instantly erases every backup or legally necessary record.

Your rights and complaints

Depending on the circumstances, you can ask for access to your personal information, correction, erasure, restriction of use or a portable copy. You can withdraw consent where it is the basis used. You have the right to object to processing based on legitimate interests, including the Airbnb research, and an absolute right to object to direct marketing. We will explain any lawful reason why a request cannot be met in full.

Use our contact form, the listing-removal route above or our postal address. You can make a request without using the specific online form. We may ask for information reasonably needed to identify the relevant records, verify identity or confirm someone’s authority. We normally respond within one month, subject to the extensions or adjustments allowed by law, and explain any such delay.

You can complain to the Information Commissioner’s Office (ICO), the UK supervisory authority. You do not have to contact us first, although we welcome the chance to resolve a concern.

The website uses automated analytics, spam checks and research classifications. These are not presented as decisions determining a person’s legal rights or eligibility for services. Research classifications and form-blocking issues can be raised with us for review.

Changes and scope

We will update this notice when the website’s features or relevant data uses change. The date above identifies this version. This notice describes website and related enquiry/research processing; a separate client or project arrangement may be needed where our services involve handling CCTV footage, access-control records or other information on a client’s behalf.
